MINUTES: Minutes of 11/14/03 approved as written.

OLD BUSINESS

TOPIC: Federal Nonprofit Filing

DISCUSSION: Pam needs support with this project. Shelley shared info used for Aroostook

Horse & Pony Associates. ACTION: Pam will continue with paper work process.

FOLLOW-UP: Next meeting.

TOPIC: Finances

DISCUSSION: Rick to set up accounts, planning on Aroostook Savings & Loans, then sees if

Bill Flagg will transfer grant money. If unable to transfer, set up process for bills to

be paid with Bill. Have mailing expenses and legal fees at present. ACTION: As stated

above.

NEW BUSINESS

TOPIC: Spending of Grant Money

DISCUSSION: Request to M&T for assistance from Aroostook Horse & Pony Associates for NARHA

Workshop fees in June, cavaletties, cones and mounting step. Request from Perfect Ponies

for mounting step. Much discussion and committee voted to give fees to AHPA for workshop,

purchase mounting steps, to pursue other avenues to acquire cones, i.e. local garages, and

Rick will check with school for building of certain props/equipment. Stables would need to

purchase materials and provide patterns/dimension for steps, cavaletties or other needs.

If can get right size rails donated to Manes & Tails for three barns, group could work

together to build cavaletties for all three. ACTION: AHPA will give a copy of

registration form to M&T when available, steps to be ordered and individuals will get info

for Rick.

FOLLOW-UP: As available.

TOPIC: Maine Community Foundation

DISCUSSION: Copy of the Project Evaluation Report to MCF reviewed. MCF awarded the grant

money to M&T and they ask for a report to assist them in their grant making program.

ACTION: None

TOPIC: Publicity and Fund Raising

DISCUSSION: Need to start getting M&T known and work on projects to raise money for

scholarships and sponsoring. What & How do we want to portray the Organization. First

impression must be positive.

ACTION: Plan Calendar of Event and work on advertising methods.
